Bluegrass Irrigation Consulting will prepare the contract documents necessary for your project. As every project design is custom generated, as are our Contract Documents. They include a blank tender form for submittal, a color copy of the detailed irrigation design, the instructions to bidders, the contract agreement, the scope and supplementary conditions of work, and the material and installation specifications generated specifically for your golf course.
Bluegrass will arrange all meetings for potential bidders and clients. A mandatory pre-tender meeting with potential bidders is important to clarify the scope of the work and allow the contractors to physically inspect the site, meet with the client and review the plans and specifications before submitting a price.
Prior to starting the project, the successful contractor must submit a preliminary work schedule indicating the start date, expected completion date, and tentative installation time lines outlining critical portions of the work. This information is helpful in not only coordinating the contractor and the course but also keeping the contractor on budget. There will also be weekly or bi-weekly site meetings to discuss how well the installation is proceeding and to point out any installation deficiencies at that time.
All bids will be opened in the presence of a witness and they will be evaluated and monitored to comply with the plans and specifications set forth in the Contract Documents. After reviewing all the criteria, a recommendation will be made. Final contract negotiations between the client and the successful irrigation contractor will be facilitated.
